What This Role is All About
Scheduling & Coordination
- Create and manage daily schedules based on production plans, resource availability, and operational priorities.
- Collaborate closely with production, sales, shipping, and service teams to ensure schedules reflect real-time progress or changes.
- Forecast shift and workload requirements to maximize capacity, reduce downtime, and improve workflow efficiency.
- Schedule window and door installations and service appointments accurately and efficiently.
- Communicate with field technicians across Alberta to coordinate jobs, resolve scheduling issues, and support on-site needs.
- Align scheduling activities with all stages of the production cycle to support continuous, efficient operations.
- Coordinate with accounting on order clearance and batching to keep jobs moving smoothly.
- Distribute production paperwork and dispatch order files to shipping daily.
- Order repair parts as required and prepare job completion documentation.
- Respond to customer inquiries via phone, email, and voicemail with professionalism and urgency.
- Send quotes to customers, follow up to close sales, and provide real-time updates on project status.
- Prepare and maintain operational and performance reports for leadership.
- Maintain accurate records of schedules, service calls, production batches, and job completions.
- Provide regular progress reports to management on schedules, delays, and service adherence.
- 2+ years of experience in an office, operations, or scheduling environment.
- Strong time management skills with the ability to multitask in a fast-paced setting.
- High attention to detail, accuracy, and follow-through.
- Excellent verbal and written communication skills with a professional, courteous manner.
- Advanced proficiency in Microsoft Office (Excel, Outlook, Word).
- Strong analytical and problem-solving skills.
- Ability to work independently and collaboratively within a team environment.
- Familiarity with Alberta’s geographical areas.
- Experience using production planning, dispatching, or scheduling software is an asset.
- Office-based role using standard equipment such as a computer, phone, and scheduling tools.
- Fast-paced environment requiring quick thinking and a DRIVER mindset.
- Occasional need to adapt to shifting priorities and tight timelines.
